Looking for ISO 9001 templates to document your processes? Simple Document Builder is a free guide with the method we use to document every process in a company in 4 steps, plus three editable templates: the process map, the document structure and a Word procedure template.

The goal is not to fill binders. It is to have procedures anyone on your team can read and follow, each with its code, revision and owner.

What’s in the download

  • PDF guide with the 4-step method and examples.
  • Process map (PowerPoint): every process in your company on one page.
  • Document structure (Excel): the list of procedures, documents and records for each process, with codes and owners.
  • Procedure template (Word): a header with code and revision, and the 8 sections of a procedure: purpose, scope, policies, flowchart, activity description, external documents, glossary and appendices.

How to use it: 4 steps

  1. Identify your processes and lay them out on the process map (management, core and support). For the details, see how to build an ISO 9001 process map.
  2. Define the document structure: which procedures each process needs, which forms and records it uses, and who owns each one.
  3. Write the procedures with the template. Revision starts at 0 and goes up with every change.
  4. Distribute the documents so everyone has what they need at hand.

Example: how the document structure is coded

ProcessCodeTitleType
PurchasingWP-PUR-01Purchasing procedureWork procedure
PurchasingDO-PUR-01Approved supplier listDocument
PurchasingRE-PUR-02Purchase orderRecord

WP = work procedure · DO = document · RE = record. To make sure your procedures actually get used, read how to write a quality procedure that is actually used.

What ISO 9001 asks about documentation

Clause 7.5 asks you to maintain the documented information your system needs and to control it: identification, review, approval, distribution and protection. The document structure and the template cover identification and change control from day one. More in ISO 9001 clause 7 explained and in assuring quality through document control.

Frequently asked questions

Yes. Fill in the form and you will get an email with the link to download the guide and the three templates.

The process map in PowerPoint, the document structure in Excel and the procedure template in Word. All of them are editable.

The standard does not set a number. A common approach is one procedure per key sub-process; for example, Purchasing may have a purchasing procedure and a supplier evaluation procedure. The document structure helps you decide process by process.

ISO 9001 no longer requires one. We explain what replaced it and when it is still worth having in ISO 9001 quality manual: do you still need one?

A shared folder works at first, with the risk that someone deletes or edits the wrong file. As you grow, QualityWeb 360 handles versions, approvals and who sees what in one place.

Instantly. The download link arrives in your inbox right after you submit the form.
